A youth services nonprofit needed to replace a rigid, outdated EHR that couldn't support their complex programs and compliance demands. We partnered with AppEvolve to build a modern, AI-forward platform that streamlines documentation and scheduling, with a long-term vision of becoming a white-labeled SaaS product.

The Vision
Create a modern, AI-forward platform that improves how youth service organizations document, schedule, and manage care. Beyond improving operations and quality of life for team members, the platform is designed to become a white-labeled SaaS product that can generate new revenue streams for the organization.
The Goal
Replace the organization's outdated and rigid EHR with a new solution that’s tailored to their complex operational structure and varying, evolving service needs. The system must:
- Improve documentation efficiency for case workers
- Support varying workflows across multiple youth programs
- Simplify compliance reporting and data entry
- Provide customizable workflows that adapt to organizational needs
- Support multiple funding streams and reporting requirements
- Achieve a WCAG-compliant design and multilingual support
- Integrate seamlessly with commonly used tools (e.g., calendars, maps)
The Assess phase focused on performing discovery and gathering the information needed to scope out a platform that meets the requirements above.
The Challenge
The youth services organization’s current EHR is too inflexible to meet its needs. Their organizational structure is also extremely complex, with many youth programs, each with different workflows, compliance requirements, funding sources, and documentation needs.
They needed a system that was robust enough to meet their stringent compliance requirements but flexible enough to evolve with their changing needs and those of similar organizations.
The Solution
We partnered with our app development partner, AppEvolve, to design a new platform from the ground up. At the core of the solution are AI-powered features built on Amazon Bedrock, including Auto-Note, which generates case notes from voice or free-text input, and Smart Scheduling, which provides intelligent suggestions based on availability and location data. The platform was built on a modular, scalable architecture using a serverless backend and API-first approach to ensure long-term scalability and seamless integration with existing systems.
Throughout the process, we took a design-led approach, building a clickable prototype and detailed system design to gather feedback early and often. Looking ahead, the system was also built with a SaaS-ready foundation, enabling future whitelabeling so other nonprofits can benefit from the platform while creating a new funding stream for the client.
